Summer Event Planning: Keeping Guests Cool & Happy

The British summer is a strange beast. One weekend it’s 28 degrees and your marquee feels like a greenhouse. The next, you’re rolling out blankets and pretending the drizzle is “atmospheric”. Either way, summer event planning lives or dies on whether your guests are comfortable. After decades of catering outdoor weddings, summer fayres, corporate fun days and festivals across the North West, we’ve picked up a few things about keeping a crowd cool, fed and in good spirits.

Start with the venue, not the theme

The most common summer event mistake is choosing the venue first and the weather plan second. Always flip that. Whether your space has shade, ventilation and a backup undercover area should drive every other decision. Open lawns look gorgeous in photos and feel brutal at 2pm in July when the sun is overhead and there’s no shadow within fifty feet.

If you’re set on an open space, build in shade properly. Stretch tents, marquees with rolled sides, parasols clustered around seating, even a few gazebos for the bar and food stations. Guests will naturally migrate to whatever shade you provide, so plan the flow around it rather than tucking it away in a corner.

Food that holds up in heat

Hot food at a hot event is a tough sell. People drift away from steaming dishes the moment the temperature climbs above 22 degrees, and food safety becomes a real concern once trays sit out for more than an hour. We’ve learned to lead summer menus with cold, fresh, share-friendly items.

Antipasti boards, dressed pasta salads, charcuterie, focaccia, fruit platters and chilled soups all work well outdoors. Sandwich platters with sturdy fillings, like Italian cured meats, mozzarella and roasted vegetables, hold their shape better than mayo-heavy options. We recommend keeping serving windows short, refreshing dishes every 90 minutes, and putting bread and crackers in the shade so they don’t go limp.

The cooling factor most people miss

Cold drinks are obvious. The thing people forget is that hot weather makes guests crave cold sweet things, and nothing pulls a crowd together at a summer event quite like an ice cream van rolling in. It breaks up the day, gives children somewhere to gravitate, and turns a lull between speeches into a moment everyone remembers. This is where Esposito’s ice cream van and gelato trike hire earns its place at outdoor events across Cheshire and Merseyside. Homemade Italian gelato, dairy-free sorbets for guests who can’t have dairy, and a fully insured team who handle the setup. We’ve served weddings in the rain and corporate fun days in 30-degree heat. The van pulls guests outside without any persuasion.

Time the day around the heat

Most summer events in the UK schedule the same way they would in October, then wonder why everyone’s flagging by 4pm. The hottest stretch of a British summer day usually runs from about 1pm to 4pm. Build your schedule around that.

A few practical adjustments worth considering:

1. Move speeches and ceremonies into the morning or early evening, not midday.

2. Serve the heaviest meal later in the afternoon, once the sun starts dropping.

3. Put high-energy activities, games or dance floors in the evening when it cools.

4. Run drinks service consistently through the hot hours, not just at set points.

At the weddings we’ve watched come unstuck early, the schedule almost always pushed the formal lunch right into the heat peak. This isn’t complicated, but the difference between guests staying engaged and quietly looking for the exit usually comes down to pacing.

Plan for two weathers at once

The British summer doesn’t commit. You need a plan for 28 degrees and a plan for sideways rain, and the venue should support both. Marquees with removable sides give you flexibility. Indoor-outdoor venues with good airflow are gold. A small reserve of golf umbrellas at the entrance costs almost nothing and saves the day twice a season.

For food, that means caterers who can adapt on the day. We’ve moved a full wedding lunch from open terrace to covered marquee in under an hour. The kitchen doesn’t care which side of the canvas it’s serving.

    Keep the children sorted

The pattern at every family event we cater is the same: these days stand or fall on whether children are entertained. A bored child at 3pm becomes a family leaving by 4. Lawn games, a shaded play corner, face painting and an ice cream van handle most of the problem. The rest is sun cream stations and a quiet shaded area where toddlers can nap without the music nearby.
